Privacy Policy

TO BE CONFIGURED - registered business name ("Sparg Events", "we", "us") operates spargevents.in. This policy explains what personal data we collect, why, and what rights you have. It is written to meet the Digital Personal Data Protection Act, 2023 (DPDP Act) and the Information Technology Act, 2000.

1. A note for parents and guardians

Most of our participants are children. Under section 9 of the DPDP Act we may process a child's personal data only with the verifiable consent of a parent or legal guardian. By entering a participant under the age of 18, you confirm that you are that participant's parent or legal guardian and that you consent to the processing described here.

We do not, in respect of children:

• carry out behavioural tracking or profiling;
• serve targeted advertising;
• use their data for any purpose other than running the contest and delivering their awards.

2. What we collect

• Participant details — name (printed on the certificate), age category.
• Contact details — email address and mobile number of the registering adult.
• Delivery address — only if you order a physical package.
• Artwork — the images you upload and the titles you give them.
• Instagram handle — optional, only if you choose to provide it.
• Payment records — transaction identifiers from Razorpay. We never see or store your card, UPI or bank details.
• Technical data — session cookies needed to keep you signed in.

3. Why we use it

• To register and evaluate the entry.
• To generate certificates bearing the participant's name.
• To manufacture and deliver physical awards you have purchased.
• To email the login codes and entry confirmations you request.
• To let anyone verify a certificate's authenticity from its certificate number.

4. What is shown publicly

This is important, so please read it before entering:

• If an entry is awarded a rank, the participant's name, artwork title and certificate number may appear on our public results pages.
• Anyone holding a certificate number can view the participant's name, contest, artwork title and issue date on our verification page. This is what makes a certificate verifiable.
• Uploaded artwork images are stored on Google Cloud Storage and are accessible to anyone holding the direct link.

We do not publish email addresses, phone numbers or delivery addresses at any time. If you would prefer a participant's name not to appear publicly, email us and we will withhold it or display initials instead.

5. Who we share it with

We share the minimum necessary with:

• Razorpay — to take payment.
• Courier partners — name, address and phone, only to deliver a physical order.
• Google Cloud Platform — hosting and file storage.
• Our email provider — to send login codes and confirmations.

We do not sell personal data, and we do not share it for advertising.

6. How long we keep it

• Entry and certificate records: retained indefinitely, so certificates stay verifiable.
• Delivery addresses: 12 months after dispatch.
• Login codes: 10 minutes, then invalidated.
• Payment records: 8 years, as required by tax law.

7. Your rights

Under the DPDP Act you may ask us to:

• tell you what data we hold about you;
• correct anything inaccurate;
• erase your data, subject to our legal retention duties;
• withdraw consent, by emailing us;
• nominate someone to exercise these rights on your behalf.

Write to info@spargevents.in. We respond within 30 days. Erasing a certificate record will make that certificate permanently unverifiable.

8. Security

The site is served over HTTPS. Login codes are stored only as cryptographic hashes and expire in 10 minutes. Access to the administration system is restricted to authorised staff. No system is perfectly secure, and we cannot guarantee absolute security.

9. Cookies

We use only the cookies needed to keep you signed in and to protect forms against cross-site request forgery. We use no advertising or third-party tracking cookies.

10. Grievance redressal

To raise a complaint about how we have handled your personal data, write to info@spargevents.in with "Grievance" in the subject line.

We acknowledge complaints within 24 hours and aim to resolve them within 15 days of receipt. Our postal address is TO BE CONFIGURED - full registered address.

11. Changes

We may update this policy. The date at the top of this page shows when it last changed. Material changes will be notified by email where we hold an address for you.
